Every export invoice you submit earns you government benefits — Duty Drawback and RODTEP. The system books those benefits automatically the moment the invoice is submitted, as money the government owes you. For that to work, it needs to know **which accounts to post to**. This section wires up those accounts, plus two small checklists the LC paperwork uses later: the export documents your buyer's bank can demand, and the verification checks you tick off before submitting documents.

Set this up once. If you skip it, the system will stop you when you submit your first export invoice with a message like "Set Duty Drawback Receivable Account in Company".

## Before you start

- Take the workspace tour in [Before You Start](/setup/01-what-you-need) if you have not already.
- Know which **company** your deals run under (on the showcase site it is "Navchetan Agro Exports Pvt Ltd" — the exporter; "JM Trades" is the buyer on the showcase deal, a Customer record, not a Company). The benefit accounts must be set on that exact company — setting them on a different company record does nothing.

> **One-time technical setup — ask your administrator:** these screens come from the **Exim** app. If you cannot find "Exim Settings" or "Export Document" in the search bar, the app is not installed yet — ask your administrator to install it before you continue.

Here is how the pieces you set up in this section are used later in the flow:

## Steps

### 1. Point the benefit postings at your accounts

The system needs six account settings on your company: for **Duty Drawback** and for **RODTEP**, a Receivable account (the government's IOU to you), an Income account (your benefit earnings), and a Cost Center.

These six boxes sit in odd corners of the Company form, so do not scroll around looking for them — use the form's built-in field search instead:

1. Type "Company" in the search bar at the top, open **Company List**, and open **your** company — the one your quotes, orders and shipments run under.
2. Click the **⋯ Menu** at the top right and choose **Jump to field** (or press Ctrl+J, Cmd+J on a Mac).
3. Type "duty drawback" — the three Duty Drawback fields appear. Pick **Duty Drawback Receivable Account** and click **Go**. The form jumps straight to the field.

4. Fill in the three Duty Drawback fields — the receivable and income accounts sit together on the **Accounts** tab, in the **Exchange Gain / Loss** section:
   - **Duty Drawback Receivable Account** — for example "Duty Drawback Receivable".
   - **Duty Drawback Income Account** — for example "Duty Drawback Income".

   The **Duty Drawback Cost Center** is a short scroll below, at the end of the **Round Off** block:

5. Use **Jump to field** again, type "rodtep", and fill the three RODTEP fields the same way — **Rodtep Receivable Account**, **Rodtep Income Account**, and **Rodtep Cost Center**. (They land at the bottom of the **Dashboard** tab — another reason the field search beats scrolling.)

6. Click **Save**.

If the account picker has nothing to offer, the ledger accounts do not exist yet. Type "Chart of Accounts" in the search bar, open it, and add them: the two **Receivable** accounts go under your **Current Assets** branch, the two **Income** accounts under **Indirect Income**. If you are unsure, this is a five-minute job for your accountant.

**How you know it worked:** all six fields show an account or cost center name after saving. The real proof comes in [Raise the Export Invoice](/setup/15-sales-invoice) — the invoice submits cleanly and stamps two benefit journal entries on itself, instead of stopping with a "Set … Account in Company" error.

### 2. Create a Branch

Every export invoice asks which **Branch** of your business it belongs to, and it refuses to save without one. If you operate from a single office, one record is all you need.

1. Type "Branch" in the search bar at the top and open **Branch List**.
2. Click **Add Branch**, enter a name (for example "Head Office"), and save.

**How you know it worked:** the branch shows in the list, and the Branch box on the export invoice offers it later.

### 3. Switch on claim management — Exim Settings

1. Type "Exim Settings" in the search bar at the top and open the settings page.
2. In the **License Setting** section:
   - Tick **Round off Values** — benefit amounts post rounded to the whole rupee, so your ledgers stay tidy.
   - Tick **Manage Rodtep claim and Duty Drawback claim** — this lets the system tag every benefit entry so you can pull them together into a consolidated claim when the government money actually arrives ([Claim Your Export Benefits](/setup/17-benefits-claims)).
   - Leave **Use Advance Authorization License based on CAS No of Item** unticked — that licensing scheme is not covered in this guide.
3. Click **Save**.

**How you know it worked:** both ticks survive the save. From now on every benefit entry is tagged for claiming.

### 4. List the export documents a contract can demand

The **Export Document** master is the menu of paper documents a buyer's LC or contract can ask for — Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, Phytosanitary Certificate, and whatever else your trade needs. When you record a contract's terms later ([Record the Buyer's LC / Contract Terms](/setup/14-contract-term)), you pick from this list and say how many copies of each the bank wants.

1. Type "Export Document" in the search bar at the top and open **Export Document List**.
2. Click **Add Export Document**, type the document's name, and save. Repeat for each document type you deal with.

**How you know it worked:** each name appears in the list, and turns up as a choice in the Export Documents table of a Contract Term.

Each record is just a name — there is nothing else to fill in. Five documents cover the usual rice-export set; add more any time.

### 5. List your pre-submission checks

The **Document Check** master is the same idea for verification checkpoints — the things you confirm before the document set goes to the bank. Three checks cover the usual LC routine:

- **LC Terms Verified** — someone has read the LC line by line against the documents.
- **Shipment Within Latest Shipment Date** — the BL date is inside the LC's shipment deadline.
- **Documents Submitted To Bank** — the set has actually gone to the bank.

1. Type "Document Check" in the search bar at the top and open **Document Check List**.
2. Click **Add Document Check**, type the check's name, and save. Repeat for each checkpoint.

**How you know it worked:** the checks appear in the list. Later, every export invoice carries these as tick-boxes, and the system refuses to submit the invoice until every box is ticked — your guarantee that no document set leaves half-checked.

## What you now have

The accounting side of your exports is armed: when an export invoice is submitted, the system posts the Duty Drawback and RODTEP it earned to your named accounts automatically, and your document and check masters are ready to become LC checklists. Nothing more to do here until invoice time.
